We're committed to protecting your personal info while you explore our historic fortress retreat

Hey there, welcome to our privacy page. Look, we get it - nobody actually enjoys reading these things, but we've tried to keep it straightforward and honest.

At Cinderflare Fortress, we're a historic hotel that's been welcoming guests for years, and we take your privacy seriously. This isn't just legal mumbo-jumbo - it's our promise to you about how we handle your personal information when you book a room, join us for a medieval banquet, or just browse our website.

We're based in Vancouver, BC, Canada, which means we follow Canadian privacy laws (PIPEDA, for those keeping score at home). If you've got questions after reading this, just give us a shout.

Personal Details You Give Us:

  • Name, email, phone number - the usual stuff when you book with us
  • Mailing address and payment info for reservations
  • Special requests (like dietary needs for our banquets or if you're celebrating something)
  • Past stay history if you've been our guest before
  • Feedback and reviews you share with us

Stuff We Pick Up Automatically:

  • Your IP address and browser type when you visit our site
  • Which pages you check out and how long you stick around
  • Device info if you're booking from your phone or tablet
  • Location data (only if you let us, useful for finding hiking trails nearby)

Third-Party Info: Sometimes we might get info from booking platforms or travel agencies if that's how you found us. We also use analytics tools to see how people use our website - nothing creepy, just trying to make things better.

We're not gonna sell your email to random companies or spam you with nonsense. Here's what we actually do with your info:

  • Process your bookings - kinda obvious, but we need your details to reserve your suite and charge your card
  • Communicate with you - confirmation emails, check-in reminders, answering your questions about castle weddings or spa treatments
  • Personalize your experience - remembering you prefer a room with mountain views or that you loved our medieval feast last time
  • Send promotional offers - but only if you've said it's cool. We might tell you about special packages or events
  • Improve our services - figuring out what's working and what needs tweaking
  • Handle legal stuff - keeping records as required by Canadian law, dealing with disputes if they come up (hopefully they don't)
  • Security purposes - protecting against fraud and keeping everyone safe

We'll only use your info for these purposes unless we get your explicit okay for something else.

We don't hand out your personal details like candy, but there are some folks we work with who need access to certain info:

  • Payment processors - they handle credit card transactions securely
  • Booking platforms - if you reserved through a third-party site, they already have your info anyway
  • Service providers - email marketing tools, website hosting, customer management systems (all vetted and trustworthy)
  • Event partners - if you're hosting a castle wedding, we'll share details with caterers and entertainment vendors as needed
  • Legal authorities - if we're legally required to, though this rarely happens

Everyone we work with is bound by confidentiality agreements. We make sure they're only using your data for the specific service they're providing.

Yeah, we use cookies - and not the delicious kind from our kitchens. These are small files that help our website work better and remember your preferences.

Types of cookies we use:

  • Essential cookies - needed for the site to function, like keeping items in your booking cart
  • Performance cookies - help us understand how visitors use the site (anonymous data)
  • Functionality cookies - remember your choices like language preference
  • Marketing cookies - track your visits to show relevant ads (you can disable these)

Most browsers let you control cookies through settings. Just know that blocking some cookies might make parts of our website not work as smoothly.

We also use Google Analytics to see overall trends - like which of our experiences (historical tours vs. adventure activities) people are most interested in. This data is aggregated and doesn't identify you personally.

Our fortress might be centuries old, but our data security is cutting-edge. We've got multiple layers of protection in place:

  • SSL encryption - your data is encrypted when transmitted to our servers
  • Secure payment processing - we don't store full credit card details on our servers
  • Access controls - only authorized staff can access personal information, and only when necessary
  • Regular security audits - we test our systems to identify and fix vulnerabilities
  • Staff training - our team knows how to handle your data properly
  • Secure backups - encrypted and stored safely

That said, no system is 100% bulletproof. We do everything we can to protect your info, but if there's ever a breach, we'll let you know promptly and tell you what steps to take.

Your part: Use strong passwords for your account, don't share login details, and be careful about phishing emails pretending to be from us.

It's your data, and you've got rights. Here's what you can do:

  • Access your data - ask us what personal info we have about you
  • Correct information - if something's wrong or outdated, let us know and we'll fix it
  • Delete your data - request that we remove your information (with some exceptions for legal or contractual obligations)
  • Opt-out of marketing - unsubscribe from promotional emails anytime (there's a link at the bottom of every email)
  • Data portability - get a copy of your data in a usable format
  • Object to processing - in certain situations, you can ask us to stop using your data
  • Withdraw consent - if we're processing your data based on consent, you can change your mind

To exercise any of these rights, just reach out to us at reservations@cinderflarefortress.info or call +1 (604) 555-8247.

We'll respond within 30 days. If you're not happy with our response, you can file a complaint with the Privacy Commissioner of Canada.

We love hosting families and their kids for historical tours and adventures around the fortress. However, our website and booking services aren't designed for children under 13 to use on their own.

We don't knowingly collect personal information from children under 13 without parental consent. If you're booking for your family, you (the parent or guardian) are providing the information.

If we discover we've accidentally collected info from a child under 13, we'll delete it promptly. Parents, if you think this has happened, please contact us right away.

We're located in Canada, and that's where your data is primarily stored and processed. But we welcome guests from all over the world!

If you're booking from outside Canada, your information will be transferred to and stored in Canada. We follow Canadian privacy laws, which are pretty solid - recognized internationally as providing strong protection.

Some of our service providers might be based in other countries (like the US for certain tech services). When this happens, we make sure they meet appropriate privacy standards and have proper safeguards in place.

By using our services, you're acknowledging that your data might be processed in Canada or other countries where our partners operate. But rest assured, we're keeping it safe wherever it goes.

Privacy laws and technology change, so we might need to update this policy from time to time. When we do, we'll change the "Last updated" date at the top.

For minor tweaks, we'll just post the updated version here. If we make significant changes that affect how we use your personal information, we'll let you know more directly - probably via email if you're on our mailing list.

We encourage you to check back occasionally, especially if it's been a while since your last visit. Though honestly, we don't change this stuff very often.

If you've got questions, concerns, or just want to chat about how we handle your privacy, we're here for you.
